This policy describes how ARTICA collects, uses, stores, and shares personal data when you use our company tenant products, employee portal, and related services.

Our commitment

We process personal data to operate recruitment workflows, candidate profiles, communications, billing, and security. We do not sell your personal data. Where AI features are used, they process content you or your organization provide for the purpose of those features.

Data we collect

  • Account details: name, email, phone, company name, role, authentication data (including Google OAuth / OTP where used)
  • Company HR data: jobs, applicants, notes, offers, contracts, references, email inbox content you connect via IMAP
  • Employee / candidate profile data: skills, experience, education, certifications, languages, CV files, references, and Create CV outputs
  • Usage and technical data: logs, device/browser info, IP address, and similar diagnostics for security and performance
  • Billing data: plan, wallet transactions, unlock purchases (payment processors may hold card details)

How we use data

  • Provide and improve hiring, email, scheduling, and candidate portal features
  • Parse and score resumes, suggest replies, and run other AI-assisted tools you enable
  • Send transactional messages (invites, offers, reference requests, OTPs, billing notices)
  • Enforce security, prevent abuse, and meet legal obligations

Sharing & processors

We may share data with service providers that help us run ARTICA (hosting, email delivery, AI providers such as OpenAI when configured, calendar/Zoom integrations, payment processors, and analytics). They may only process data under our instructions.

Company HR users see candidate data within their tenant. Public token links (apply, offer, contract, reference respond) expose only what is needed for that action. We may disclose data if required by law or to protect rights and safety.

Storage & retention

Tenant company data is stored in the tenant database. Employee portal data is stored on the central database. We retain data while accounts are active and as needed for legal, billing, and security purposes. You may request deletion subject to legitimate retention needs and company customer obligations.

  • Update profile and account settings where available in the product
  • Disconnect email / calendar integrations you no longer wish to use
  • Contact us to request access, correction, or deletion where applicable law allows

Cookies & analytics

We may use cookies, local storage, and similar technologies to keep you signed in, remember preferences (such as language), and measure how the landing pages and product are used.

Analytics help us understand traffic and improve performance. You can control cookies through your browser settings; disabling some cookies may affect how certain features work.

Data subject requests

Depending on applicable law, you may have the right to request access to, correction of, or deletion of your personal data, or to object to certain processing.

To make a request, email info@myartica.com with your account email and a clear description of the request. We may need to verify your identity before responding. Company customer data may also be subject to the company’s own retention and employment obligations.
