How companies hire and how candidates grow on ARTICA — private tenant workspaces, AI pipeline tools, Create CV, and two separate reference systems.

Getting Started

ARTICA is a multi-tenant HR platform: companies get a private subdomain workspace, while candidates use the central employee portal. Pick the path that matches you.

Companies — register a workspace
Sign up with email OTP or Google. Your company gets an isolated tenant database and admin on {company}.myartica.com/admin.

Complete the company profile
Add company details so hiring can unlock. Profile completion is required before full HR access.

Invite your team
Add HR managers, specialists, and viewers with the right permissions (Spatie RBAC + role hierarchy).

Connect tools (optional)
Link IMAP inbox, Brain AI knowledge, Google Calendar / Zoom, and social pages to unlock the full hiring stack.

Candidates start on the central /employee portal instead — register, build a profile, Create CV, then apply. You can refine company settings anytime.

For Companies & HR Teams

Your tenant admin is the home base for hiring: jobs, candidates, inbox, calendar, wallet, Search CV, agency tools, and settings — all on your company subdomain.

From the dashboard you can track open roles, applicant volume, interviews, and pipeline health. Subscription checks and 2FA protect the workspace.

Brain AI is tenant-scoped — feed snippets, websites, and files so replies and HR assistance stay on-brand. OpenAI also powers job descriptions, CV scoring, and email summaries.

Create a role with a custom application form, then start receiving applicants the same day.

Enter title, location, and type. Let AI draft a full description and structured skill requirements you can edit.

Build a custom application form and screening questions to filter applicants early.

Publish & share
Share the public apply link (/apply-job/{slug}) and publish to LinkedIn or Facebook when social pages are connected.

Managing Candidates

Every applicant enters your hiring pipeline. Resumes are parsed and scored with AI against the role so stronger matches rise first.

Move candidates through clear stages with timeline events, notes, and internal reviews. Request missing documents and send CV availability reminders when needed.

Use the AI match score as a guide, not a hard rule — it helps you prioritize, but your judgment always comes first.

Interviews & Offers

Schedule interviews with Google Calendar and Zoom links. Message candidates over WhatsApp or email without leaving the workspace.

When ready, send a digital job offer or contract. Candidates accept or decline through a secure public token link, and you can request files along the way.

Need employment verification? Add company references on the pipeline candidate. Referees respond on your tenant link with Yes/No employment plus a short summary.

For Candidates

The employee portal on the central domain keeps your career data in one place — separate from any single company’s hiring database.

Create your profile
Register (email/OTP or Google), import a resume, and fill personal info, skills (≤20), experience, education, certifications (≤10), languages (≤8), and social links.

Find & apply to jobs
Browse openings, save favorites, and apply from the portal — or apply as a guest on a company apply link without an employee account.

Track applications
See cross-tenant application history in one place, and respond to interviews, offers, and contracts through secure links.

Create Your CV

Employees only. From My Profile → save bar → Create CV, open ATS templates filled from your saved profile. Companies do not use this modal — they parse and score uploaded CVs in HR.

Two Reference Systems

Do not mix them — different databases, models, and response URLs.

Employee (central)

You add up to 3 past employers on My Profile with corporate email only. After save, ARTICA emails the referee. Responses feed an AI trust score on your sidebar.

Company HR (tenant)

HR adds refs on a pipeline applicant. Referees open the tenant link and answer Yes/No employment + summary. Data stays on the company candidate record.

Personal Gmail-style inboxes are rejected for employee references. Keep your personal account email on the profile; company emails belong in References only.

For Recruitment Agencies

Agencies can upload candidate resumes for client companies, contribute to the shared talent pool, and track placements with automatic commission calculation from one dashboard.

Commissions are calculated automatically for each successful placement, so earnings stay visible as you work.

Roles & Access

ARTICA gives each persona the surface they need — central platform, company tenant, or employee portal.

Platform super admin
Central /admin — companies, plans, subscriptions, bulk email, global analytics.
Company owner / HR team
Tenant admin — jobs, candidates, inbox, scheduling, offers, wallet. Owners control team access and subscriptions; viewers stay read-only.
Candidate / employee
Central /employee — profile, references, Create CV, jobs, Search CV unlock. Public applicants can also apply via guest links.

Tips & Best Practices

Teach Brain AI about your company
The more tenant context you add, the more accurate and on-brand replies become.
Keep the pipeline tidy
Move candidates promptly so dashboards and team notes always reflect reality.
Fill the candidate profile before Create CV
Certifications, languages, and references only appear on templates when they exist on the saved profile.
Use corporate emails for employee references
Save the profile after edits so verification emails send. Check the eye icon later for responses and trust updates.
